By booking any service, you agree to comply with and be bound by these provisions, ensuring a safe, legal, and premium experience. Comprehensive Sydney Chauffeur Service Terms and Conditions
1. Booking, Confirmation, and Amendments Policy
1.1. How to Secure Your Transportation
All reservations for private tours and executive transportation in Sydney must be made through our official booking channels. A booking is considered confirmed only upon issuance of a written confirmation (e.g., email) detailing the service, date, time, vehicle class (e.g., premium euro or Mercedes Sprinter Van), and agreed-upon rate. This process is designed for clarity and to meet NSW Transport Council standards for record-keeping.
1.2. Changes to Confirmed Bookings
Requests for amendments to confirmed bookings, including changes to pick-up time, drop-off location, or vehicle type, must be submitted in writing. We will endeavor to accommodate all reasonable changes, subject to vehicle availability and operational constraints. Significant changes may result in a revision of the quoted fare. Changes made less than 12 hours before the scheduled service time may incur an administrative fee.
1.3. Vehicle Allocation and Substitution
We commit to providing the vehicle class requested (e.g., luxury suv or minibus). In the unlikely event that the confirmed vehicle becomes unavailable due to unforeseen circumstances (e.g., mechanical issues), we reserve the right to substitute a comparable or superior vehicle to ensure the service is delivered without delay.
2. Payment Structure and Cancellation Charges
2.1. Pricing and Fare Calculation
Fares are calculated based on various factors, including distance, time, vehicle type (BMW car, Mercedes S-Class, etc.), and specific requirements of the tour or transfer. All quoted prices include GST unless otherwise specified. Tolls, Sydney flight arrival and departure charges (if applicable), and additional waiting time beyond the agreed limit are typically added to the final invoice.
2.2. Accepted Payment Methods
We accept major credit cards and bank transfers. Payment terms will be specified at the time of booking. For corporate accounts or large private tours, specific credit terms may apply, which must be agreed upon in advance.
2.3. Cancellation Policy and Fees
Cancellation more than 24 hours prior: Full refund, minus a small administrative processing fee.
Cancellation between 12 and 24 hours prior: A cancellation fee equivalent to 35% of the total fare will apply.
Cancellation less than 12 hours prior or ‘No Show’: The full fare (50% of the booking cost) will be charged to cover costs and loss of opportunity, consistent with standard industry practices for pre-booked transport. This helps manage the availability of our luxury chauffeur driven cars.
3. Vehicle Classes, Capacity, and Luggage Policy
3.1. Understanding Vehicle Seating and Capacity
Our fleet includes a range of vehicles, from executive sedans to large coaches, such as the Mercedes Van V-class and the Mercedes Sprinter Van. The maximum number of passengers permitted in each vehicle is strictly governed by safety and legal requirements and manufacturer specifications. Clients must select an appropriate vehicle based on their group size. Overloading a vehicle is strictly prohibited under Transport for NSW regulations.
3.2. Luggage Policy
Clients are responsible for ensuring that the luggage they bring can be safely accommodated within the vehicle’s designated luggage area. We highly recommend booking a larger vehicle, such as a luxury suv or a van, if substantial luggage is expected. The chauffeur retains the right to refuse to transport any item deemed unsafe or excessive, as adherence to Roads and Maritimes Service (RMS) safety guidelines is paramount.
3.3. Condition and Cleanliness Surcharge
Vehicles are presented in pristine condition. A cleaning surcharge ($200 minimum) may be applied if a vehicle requires excessive cleaning due to passenger conduct, including but not limited to spillage of food/drink, illness, or damage to interior fittings.
4. Client Responsibilities and Conduct
4.1. Respectful Conduct
We maintain a zero-tolerance policy for abusive, threatening, or illegal behavior toward our chauffeurs or other staff. The client and their party must maintain respectful conduct at all times. Failure to do so may result in the immediate termination of the service, with no refund issued.
4.2. Adherence to Laws
All passengers must comply with AU government laws, including seatbelt regulations. Smoking is strictly prohibited in all vehicles. Consumption of alcohol is generally not permitted unless explicitly agreed upon for specific private tours where a licensed vehicle is used, and it is legally permissible.
4.3. Accurate Information
The client is responsible for providing accurate and complete information at the time of booking, including correct pick-up addresses, flight details for Sydney airport transfers, and contact information. Errors leading to service disruption (e.g., missed flights) are the client’s responsibility.
5. Safety, Regulatory Compliance, and Insurance
5.1. Commitment to Safety

Point-to-Point Transfers (Non-Airport): 15 minutes of complimentary waiting time from the scheduled pick-up time.
6.3. Surcharges for Extended Waiting
Waiting time exceeding the complimentary period will be charged in 15-minute increments at the prevailing hourly rate for the booked vehicle class (e.g., Mercedes S-Class). The chauffeur will attempt to contact the client multiple times before the booking is declared a ‘No Show.’
7. Limitation of Liability and Dispute Resolution
7.1. Limits of Liability
Sydney Chauffeur Limo is not liable for delays caused by factors outside of our reasonable control, including but not limited to severe weather, unforeseen traffic congestion, road closures mandated by the NSW government, or mechanical breakdown (where a timely substitution is made). Our liability for any loss or damage arising from the provision of our services is limited to the cost of the fare paid for the specific service where the breach occurred.
7.2. Lost Property
We take all reasonable steps to secure any property left in our vehicles. However, we assume no liability for lost, stolen, or damaged personal belongings. Found items will be held for 30 days and clients can arrange retrieval. This is a standard measure across the Sydney Hire Car Association.
7.3. Dispute Resolution
Any disputes or claims arising out of these terms and conditions or the service provided must first be submitted in writing to us within 14 days of the service date. We are committed to resolving issues amicably and fairly. Should a resolution not be found, both parties agree to explore mediation or arbitration before resorting to formal legal action.
